Coming 1 July: A Better Way to Receive Your ATO Mail

From 1 July, we’re excited to roll out our new ATO SmartDocs, designed to deliver your ATO correspondence in the most secure, efficient, and user-friendly way possible.


This upgrade ensures your sensitive information is protected with industry-leading security, while making access to your ATO documents simple and seamless.

 

What Is ATO SmartDocs?

The Vault is a secure digital delivery system that replaces traditional email and post for ATO-related mail. You’ll now receive your ATO documents via your personal Vault, a protected online portal secured with Two-Factor Authentication (2FA).


This system aligns with compliance requirements under the Tax Agent Services Act 2009 (TASA) and the TFN Rule, ensuring we handle your information responsibly and lawfully.

 

Why We’re Making This Change: Security and Simplicity

We’ve invested in the ATO SmartDocs system to provide not only convenience, but also the highest level of protection for your data.


ATO documents often contain highly sensitive information, including your Tax File Number (TFN), income details, and personal address. Delivering these documents via traditional email or post increases the risk of identity theft and fraud.


That’s why we’ve introduced:

  • Encrypted Email Delivery: Ensures your documents are protected in transit.

  • Secure Access via Your Vault: Your Vault is protected by Two-Factor Authentication (2FA) to prevent unauthorised access.

  • Automatic TFN Redaction: Your TFN is automatically removed from all downloaded files—even if it appears in embedded fields like your PRN.


In the Vault, you can easily access past and current documents, download files and share them securely with third parties (like your banker or broker) without compromising your personal data.


The ATO currently utilises six different methods for delivering correspondence to taxpayers, including through the myGov portal. While convenient in theory, myGov delivery can present challenges—some clients may not receive timely notifications that a document has been issued. This can lead to missed lodgement or payment deadlines, with potentially serious consequences. Our new secure delivery system is designed to eliminate these risks by ensuring timely, trackable, and secure access to important ATO communications.

 

Accessing Your ATO Documents is Easy

When ATO mail is issued to you, here’s what to expect:


Step 1:

You’ll receive an SMS from “Insight Co” notifying you of new documents, along with an email from our firm containing a secure link. Click the link to open the Vault login page and select “Get Access Code.”

Step 2:

A one-time Access Code will be sent via SMS to your mobile. Enter this code into the field provided.

Step 3:

Click “Submit Access Code” to unlock your Vault and view your ATO documents.

 

The Vault: Your Secure Portal

With the launch of ATO SmartDocs, we’re taking a significant step toward smarter, safer document delivery.


All ATO documents from 1 July onward will be available in your Vault. Your ATO mail will arrive digitally, securely, and conveniently — giving you full control, peace of mind, and protection.
